Connecting QuickBooks Online

The most common Zamino setup — the OAuth flow, what permissions we ask for, the difference between standard sync and Live mode, and what to do if the connection fails.

QuickBooks Online is the single most-connected source in Zamino. Here's the full picture — including the difference between QuickBooks Online (synced) and QuickBooks Live (real-time, read-only tools).

Before you start

You'll need an admin seat on your QuickBooks Online account. Zamino reads data — it never writes — but Intuit's OAuth flow still requires admin-level approval the first time you connect.

Connect in 3 clicks

  1. Open Connectors

    In Zamino, click 🔌 Connectors in the sidebar.

  2. Pick QuickBooks (or QuickBooks Live)

    Find QuickBooks Online in the Accounting section. If you also want real-time tools, you can connect QuickBooks Live — they're separate connectors and can coexist.

  3. Sign in and approve

    You'll redirect to Intuit's normal sign-in. Approve the read-only scope and you're back in Zamino.

    The initial sync runs in the background — usually 2–5 minutes for a small or mid-sized company; up to 20 minutes if you have many years of history.

What permissions we request

Zamino requests read-only access to:

  • 👥 Customers, vendors, and contacts
  • 🧾 Invoices, bills, payments, credit memos
  • 💸 Expenses and expense categories
  • 📚 Chart of accounts
  • 🏢 Company profile (currency and fiscal-year settings)

We never request write access. We never post journal entries, send invoices, or modify your books in any way. Your accountant's work stays exactly where they left it.

When to enable Live mode

QuickBooks Live runs your questions through 26 read-only tools that talk to Intuit in real time. It's the right choice when:

  • You're closing the books and need the absolute latest figures.
  • You're investigating a single anomaly and want to see the source row this minute, not after the next sync.
  • You're chasing a discrepancy that may have changed in QuickBooks since the last sync.

For everyday dashboards and weekly routines, the standard sync is faster and lighter on your QuickBooks API quota.
